Equipment rental: rackets, balls, shoes

In short

  • Rental gear is a Growth feature. Creating and editing it needs the "Manage equipment" permission; any team member can view it.
  • You create items with a name, category, activity, price per booking and quantity. Players add them while booking.
  • The service fee is calculated on the court and the equipment together, so the rental is nothing you need to price separately.

What you create

An item consists of a name ("Premium racket", "Football size 5"), a category (racket, ball, shoes, helmet, gloves, other), the activity it is meant for, a price per booking and the quantity you own. Optionally a description and an image. You set the order in the list yourself, and an item can be switched inactive without deleting it.

The price is a price per booking, not per hour. A racket at €5 costs the player €5 whether they play 60 or 120 minutes.

Who may do what

Rental gear is a feature of the GROWTH plan and above. Within your team one distinction applies: viewing is open to any team member with no special permission, while creating, editing and deleting needs the "Manage equipment" permission (see team and permissions). That is deliberate: whoever is on the desk should be able to check what is available without being able to change your catalogue.

How players rent, and what you receive

While booking, the player adds their equipment in the same flow. In an open match each player rents for themselves: two players in the same match can both rent the same racket model without getting in each other's way.

On price: the openmatch service fee is calculated on the court price plus the equipment together, not on the court alone. That changes nothing in your own maths. You receive your court price and the full rental, and the fee is carried by the player on top as always (see pricing and fees).

The rental price paid is frozen at the moment of booking. If you change an item's price later, bookings already paid keep the old amount.

Quantities: one number, the rest is derived

Every item has a total (how many you own) and an available count (how many are not currently rented out). When someone books an item, the available count goes down; if the booking is cancelled, it goes back up. At zero available the item can no longer be added to a booking.

You maintain exactly one number: how many units you own. How many are free is worked out per time window, by subtracting the bookings that overlap the slot in question. So there is nothing to reset, and a booking on Tuesday does not make the item unavailable today. If a racket comes back broken, or you buy more, just change the quantity.
